Annual Reporting to the BIC

Local BIC Churches are asked to submit various data statistics and documents each year in order to both summarize their past ministry year, and ensure that they have (or will receive) resourcing for a safe and impactful ministry year ahead. We appreciate your cooperation and coordination to have your team complete the applicable annual reporting steps outlined below.

This year, we are splitting the reporting process into two parts to better align with our churches’ rhythms. As applicable, each church’s Lead Pastor(s), Board Chair, Treasurer, and Administrator will receive an official request for the data approximately two (2) months before the submission deadline.

PART 1: BIC Churches who operate as their own legal charity need to submit their Finance & Insurance Documentation and Leadership Role Updates by March 31, 2026.

PART 2: BIC Churches and Church Plants need to submit Ministry Data & Resources (Church Plant Version Here) information by July 31, 2026.

Finance & Insurance Documentation

Every year, each BIC church that operates as its own legal charity is asked to provide the information and documentation requested below as either a doc, pdf, or spreadsheet:

  • Financial statements of previous year (balance sheet and income statement)
  • Budget for current year
  • Estimated amount planned to send to BIC Canada as the church’s Cooperative Ministries contribution for the current fiscal year
  • Current year insurance policy, including a) proof of abuse liability coverage and b) Be In Christ Church of Canada named as an additional insured on the church’s general liability policy 
  • Expected date of local AGM this year

Please submit your church’s data through the Finance & Insurance Documentation Form by the deadline specified above.

Leadership Role Updates

Each year, BIC churches are asked to either confirm or update their local church information, including the names and contact information of those in key leadership positions.

Please find your church’s information among the church list here, and submit any changes directly through the document. 
 

Each church link leads to a Google Doc where (rest assured) there is no risk of accidentally making irreversible changes – access is limited to allow temporary edits that our team will be notified about, so go ahead and type any necessary updates right into the document itself. Anyone without a Google email account may be asked to verify their email address before interacting with the document. 

As a default, each church’s Lead Pastor, Board Chair, Treasurer, and Administrator are given access to their document. To remove or add access, contact emma.field@beinchrist.ca.

Ministry Data & Resources

Each year, BIC churches and church plants are asked to provide the ministry data and resources requested below:

  • Average weekly worship service attendance of the last ministry year – in person
  • Average weekly worship service attendance of the last ministry year – online (if applicable)
  • Approximate total number of church attendees for last ministry year
  • Approximate percentage or number of attendees between the ages of 0-30 years old
  • Number of baptisms within the lat ministry year
  • Current Abuse Prevention / Child Protection Policy
  • Order amounts for Advent Guide printouts
  • Any short-term missions planning information for the current or next year

Please submit your church’s information through the Local Ministry Form (Church Plant Version Here).

This year, this form also includes a spot to provide any outstanding Operations Data (ie. updated insurance policy, local AGM date) if your church was unable to provide that information earlier in the year. 

Note: We collect this data as a high level snapshot of your church’s engagement over the past year. However, we recognize that the above data points don’t come close to capturing the ministry that God has been doing through your team this past year, so please don’t be shy about including any stories within the annual reporting form and/or reaching out with anything else you’d like to share!
